Preparing Your Facility to Use ReddiNet

ReddiNet helps healthcare facilities communicate, share operational information, and coordinate emergency response. Keeping your facility's account settings and contact information up to date helps ensure the right people can access ReddiNet and receive important notifications when needed.

This checklist covers the key areas that facility administrators and individual users should review when preparing to use ReddiNet.

Getting started: Most account and facility settings are managed through Customer Profile. Some settings require facility administrator access, while others can be managed by individual users.

1. Review User Accounts and Access

Begin by confirming that the appropriate staff members have active ReddiNet accounts and understand how to sign in.

For Facility Administrators

  • Review the user accounts associated with your facility.
  • Create accounts for staff members who need ReddiNet access.
  • Verify user names, contact information, and account types.
  • Review which staff members have administrative access.
  • Deactivate accounts that should no longer have access and reactivate accounts when appropriate.

These functions are covered in the User Accounts training materials.

For Individual Users

  • Confirm that you can sign in to ReddiNet with your assigned username and password.
  • Verify that your contact information is correct.
  • Become familiar with how to change or reset your password.

If you do not have a ReddiNet account, contact your facility's ReddiNet administrator to request access.

2. Verify Facility Information

Accurate facility information helps ReddiNet users and coordinating agencies identify the appropriate contacts, services, and capabilities during routine operations and emergencies.

Facility Contact Information

Review the information maintained in your facility's Customer Profile, including:

  • General facility contact information
  • Emergency manager or disaster coordinator information
  • Hospital Command Center contact information, where applicable

Make sure the information reflects your facility's current contacts and procedures.

Facility Resources and Services

Review the resources and services associated with your facility. This information helps describe the capabilities available within the ReddiNet network.

Some facility details and resource or service settings are maintained by ReddiNet system administrators rather than individual facilities. Contact ReddiNet Support if information needs to be corrected and you cannot update it through Customer Profile.

See Facility Information for related training materials.

3. Review Multi-Factor Authentication

Multi-factor authentication (MFA) provides an additional verification step when accessing a ReddiNet account, helping protect access beyond the username and password.

ReddiNet supports verification codes delivered by email or text message.

Recommended User Checklist

  • Confirm that your account has the correct email address and mobile phone number.
  • Review your MFA configuration in Customer Profile.
  • Complete the verification process when enabling MFA.
  • Understand how to retrieve and enter a verification code when signing in from a new device.

For additional instructions, visit the Multi-Factor Authentication training materials.

4. Configure ReddiNet Alert Notifications

ReddiNet can notify users about important activity even when they are not actively viewing the application.

Users can manage their notification preferences through the Alerts section of Customer Profile.

Common Notification Types

Depending on the available configuration, notification categories include:

  • Hospital Diversions: Changes in hospital service availability or diversion status.
  • Mass Casualty Incidents (MCI): Notifications about actual incidents or drills.
  • Assessment Polls: Requests for facilities to provide information.
  • Messages: Notifications when new ReddiNet messages are received.
  • Service Levels: Notifications about service-level polling or updates.
  • Resource Requests: Activity involving resource requests.
  • Offline Status: Notifications when no users at your facility are logged in to ReddiNet.

Review Your Delivery Preferences

Notification settings may include email, SMS, or pager delivery, depending on the alert type and configuration.

Review which notifications you need, how they should be delivered, and which facilities or areas you want to monitor where those options are available.

Important: A hospital's ED Alert Status is different from a user's notification preferences. ED Alert Status describes hospital operating conditions, while Customer Profile alerts determine which ReddiNet events generate notifications for a user.

5. Review Facility Response Groups

Response Groups help organize facilities for communication and coordination within ReddiNet.

Rather than selecting individual facilities each time, authorized users can work with predefined groups of participating facilities in supported workflows.

Response Groups can be used with features such as Assessments, Mass Casualty Incidents, and Messages.

For Facility Administrators

  • Review existing Response Groups associated with your facility.
  • Confirm that each group contains the intended participating facilities.
  • Create or update groups as needed for supported coordination activities.

Response Groups contain facilities, not individual user accounts. User access is managed separately through User Accounts.

Refer to the Response Groups training materials for detailed instructions.

6. Familiarize Staff with Essential ReddiNet Workflows

Once account settings and facility information have been reviewed, make sure staff members understand the ReddiNet functions relevant to their responsibilities.

Useful areas for familiarization include:

  • Status: Reviewing and reporting facility status, ED alerts, and diversions.
  • Messages: Communicating with participating facilities and other ReddiNet users.
  • Assessment: Responding to information requests and reporting service levels.
  • Bed Capacity: Reporting and reviewing bed availability.
  • Resource Request: Submitting and coordinating requests for equipment, personnel, and supplies.
  • MCI: Participating in mass casualty incident coordination.
  • Evacuation: Coordinating patient relocation during an evacuation.

Not every staff member needs to use every module. Focus training on the responsibilities and workflows relevant to each person's role.

7. Keep Your Facility Information Current

Facility readiness is not a one-time activity. Review your ReddiNet information whenever important operational or staffing changes occur.

Examples include:

  • New employees need ReddiNet access.
  • Staff members leave the facility or change responsibilities.
  • Emergency management contacts change.
  • Notification phone numbers or email addresses change.
  • Facility services, resources, or operating capabilities change.
  • Response Group membership needs to be updated.

Keeping this information current helps maintain reliable communication and coordination across the ReddiNet network.
